2. Hotel arrangments

Arriving Tuesday, September 13:

If you arriving on Tuesday, September 13, and registered for lodging for the meeting, you have probably received a separate email. Due to the continuing Northwest Airlines strike and lack of sufficient dorm space for students returning to the University of MN, the Radisson was overbooked. Because we did not want to cancel the MSP Evaluation Summit, we have worked with the Radisson to find the best possible solution, given the unfortunate circumstances and knowing that any change inconveniences our meeting participants. With deep regrets, the Radisson has moved almost all participants for our meeting who arrive on Tuesday to the Hotel Rios, a very nice hotel some distance away. This change is for Tuesday night only, but you will want to go directly to the Grand Rios via taxi or rental car upon arrival Tuesday evening. Directions to the Grand Rios are included at the end of this email. The Radisson is covering costs for rooms at the Grand Rios and for a shuttle to return you to the Radisson in time for the workshops on Wednesday morning. The shuttle will arrive at the Grand Rios at 7:30 a.m. and leave for the Radisson at 7:45 a.m. ALL meeting participants who requested rooms will be able to stay at the Radisson on Wednesday and Thursday nights.

We appreciate your patience and understanding with this inconvenient situation. We have reviewed all options, and other than canceling the meeting, we agreed this choice caused the fewest problems. The hotel conference planners have worked very hard to find alternative solutions and have assured us that other aspects of the meeting will be handled expediently. Although we considered other conference locations within Minneapolis, the Norwest Airlines strike has affected hotels throughout the area. We appreciate those of you who graciously help us deal with the inconvenience this causes.

Arriving Wednesday, September 14, or Thursday, September 15:

Directions from the airport to the Radisson Metrodome are included at the bottom of this email. Transportation from the MSP Airport to the hotel can be arranged through the SuperShuttle (1-800-bluevan) and taxi services. Hotel confirmation numbers should arrive in a separate email for those who have reserved lodging.

3. Travel from aiport to hotel

If you are arriving at the Minneapolis/St. Paul Airport, taxis and the super shuttle will take you to the Radisson Metrodome. We understand that only taxi services are available for the Grand Rios. Directions to hotels from the airport and contact information for the airport shuttle are included at the bottom of this message.

4. Reimbursement of expenses

Airfare:

Reimbursement for airfare will be handled by the University of Wisconsin RETA project. Instructions were sent previously by email. Contact Lynn Lunde (lalunde@facstaff.wisc.edu) for additional information.

Lodging:

Lodging at the Grand Rios will be covered by the Radisson Metrodome. You will need to pay for incidental expenses, but no additional lodging expenses should be charged to you.

Utah State University's RETA project is paying for lodging expenses at the Radisson Metrodome. You will need to pay for incidental expenses, but our contract with the Radisson will cover lodging expenses. The hotel knows that some people will be covering expenses for their own rooms due to conflicts of interest.

Meals:

Lunches and light breakfasts will be provided during the meetings. Substantial finger foods will be available at Thursday's reception, as well as a cash bar. You are responsible for other meals.

Taxi/Airport Shuttle:

If you need to be reimbursed for travel expenses to and from the Minneapolis Airport via taxi or airport shuttle, please find Catherine Callow-Heusser or Heather Chapman to obtain an expense reimbursement form. You must submit receipts along with the form in order to be reimbursed.

Honorariums:

Payment of honoriariums to first authors for submitting a completed paper and presenting the paper at the MSP Evaluation Summit meeting will be handled by either the University of WI RETA or the Utah State University RETA. We have split the list of first authors to whom payment will be made, and an invoice will be placed in first authors' packets. The invoice needs to be submitted to the designated RETA project during or immediately following the MSP Evaluation Summit. Please contact Paula White (pawhite1@facstaff.wisc.edu) or Catherine Callow-Heusser (cheusser@cc.usu.edu) if you need additional information.
